In these rules and regulations, the term “exhibitors” includes all employees, staff, and agents of the company, partnership firm, or individual who have been given space to participate.

a) The term “EXHIBITION” refers to the trade show called “Dhaka International Diagnostic Medical Equipment Expo-2024”.
b) The term ORGANIZER shall mean “Eco Expo”.
c) The exhibition premises will include the main passage and also the inside of the boundaries of the venue.
2. Exhibitors need to cover any costs if there’s a claim about damage to the exhibition halls or venue caused by their stands, displays, staff, or agents.
3. Consequential loss:
a) If the exhibition is cancelled or suspended due to any reason beyond the organizers’ control, they won’t take responsibility for any resulting damages.
b) If the exhibition date is postponed or suspended due to any reason, the organizers won’t offer cancellations or refunds to exhibitors. Exhibitors should merge their payment for the rescheduled date.
c) If you lose anything from your personal booth during the expo, Eco Expo is not responsible. Therefore, please keep all your belongings safe.
4. STAND ALTERATION
a) You can’t change the place/size of your stand without getting approval from the organizer beforehand.
b) If you want to do a custom design you have to get approval from the organizer.
c) The organizers reserve the right to require exhibitors to make such alterations to their stands as to avoid interference with the display of other exhibitors.
d) The organizers can change the layout of stand locations and pathways if needed.
e) Exhibitors should avoid creating designs that block or enclose other exhibitors’ stands.
f) Stands must stay within their designated area and shouldn’t have any obstructions on pathways, fire points, fire extinguishers, or emergency exits.
5. Stall Interiors: Though the exhibitors are free to decorate their stands to the best of their ability for projecting the right image of their products and company, they should not cause any permanent damage to the walls, panels and floors through use of nails, paints or any other such activity.
6. BARE SPACE: For empty spaces, participants need to send their construction and decoration plan for approval to the organizers at least 30 days before the event. The height of the exhibition should not exceed 10 feet.
7. Equipment, machinery, and other exhibits that could create too much noise, vibration, or electrical issues won’t be allowed to operate. The organizers have the final say in this decision.
8. The organizers have the authority to change the floor plan.
9. The arrangement of stalls in relation to aisles on the floor plan is just a representation and isn’t guaranteed. If the organizer fails to provide that particular stall for any special reason , an alternative location of similar size will be discussed and next suitable stall will be provided.
10. Exhibitors are required to take care of insurance for their exhibits and stand property.
11. The organizer will not be responsible for any personal injuries to exhibitors, their staff, agents inside and outside of the exhibition area.
12. Exhibitors have to arrange their food, living and transportation by their own.
13. Default on payment: If an exhibitor doesn’t pay the rental charges by the due dates, the organizers can cancel the space reservation. Any payments already received will be lost in such cases.
14. Cancellation: You can’t cancel or reduce your space after the organizer has received your application forms.
15. Security: While there will be 24-hour security for the exhibition as a whole, exhibitors are responsible for the security of their individual exhibits in their stalls. Exhibitors should take necessary steps to prevent loss or damage to their equipment, both inside and outside of exhibition area. You are advised to keep your ID card, passport, money, and other valuable items with you and not leave them in the expo area.
16. There will be a 24-hour electricity supply at the expo premises. In case of any technical disruption to the electricity supply, it will be restored within 5 to 10 seconds. So, no need to be agitated or complain.
17. No hoardings, banners, or similar items can be displayed on the exhibition premises or nearby roads unless they are pre-approved by the organizers according to their rules. Any unauthorized displays will be removed by the organizers without prior notice.
18. Space not occupied: Each exhibitor must use the entire area they’ve booked.
19. No one can enter the fair without registration.
20. No Subletting: Exhibitors cannot assign, sublet, or give licenses for their stand or any part of it. They also cannot display or distribute materials from companies or individuals who are not legitimate allottees or subsidiaries of the exhibitors or their ultimate holding company. Exhibitors can only display their items in the stall
21. Removal of exhibits: Exhibits must be taken out of the hall by 10:00 p.m. on the same day the exhibition ends. If an exhibitor doesn’t clear their stand space or the premises by the specified time, they may need to cover any costs incurred by the organizer as a result.
22. No exhibit materials can be taken out of the hall without a valid exit pass obtained from the authorized office by the organizer.
23. Electrical Installation: Electrical installations must be done by the appointed electrical contractor before connecting to the main supply. The contractor may be given access to perform work, repairs, alterations, or other tasks as needed.
24. The organizers and their authorized representatives have the right to enter the exhibition stalls.
25. Verbal agreements about any part of the contract or exhibition are only valid if confirmed in writing. The contract should be made on the company’s official pad and signed through email.
26. Selling items directly from counters is not allowed.
27. Stall possession: Exhibitors will receive possession of the stalls one day before the inauguration. They need to finish setting up the interiors and displays before the inauguration.
28. It’s not allowed to store any flammable or hazardous items in the exhibition area. The fair area is a completely non-smoking area. Anyone caught smoking will be fined $500 immediately.
29. The organizer holds a general lien on all exhibitors, which means they have the right to keep items until any owed sums, including unpaid rent, are settled by the exhibitor.
30. Government VAT and TAX will be charged separately as per applicable rates.
31. Jurisdiction: Any disagreements between the organizer and exhibitors will be resolved within the jurisdiction of the constitution under Judge court Dhaka, Bangladesh.
